Overview
You can alter what patients hear when they call by changing your voice menu. Similar to the department call schedule, there is a voice menu schedule within your account in which you can switch between menus. Menu types can include: daytime menu, afterhours menu, generic closed menu, holiday menu, inclement weather menu, etc. You can have anywhere from 1- 9 voice menus depending on how specific you want the greeting that patients hear to be. For example, if you are closed because of a snow storm you could have an inclement weather menu that says “We are closed today due to the inclement weather, please press 1 for..” or you could simply play a normal “We are currently closed, please press 1 for..” menu. It’s entirely up to you. In most cases the generic closed menu is sufficient, but if you’d like a special menu you can request one by opening a support ticket on our website: https://support.oncallcentral.com/hc/en-us/requests/new
and we’ll be happy to create one for your account.
**When requesting a new menu please give at least 24 hours notice before you need it. Also keep in mind the reusability of your menus. In your request rather than saying “We are closed today, November 22nd, for Thanksgiving” say something such as “We are closed for the holiday”. This makes your menu reusable so that it’s good for all Holidays rather than just for a Thanksgiving that happens to land on November 22nd.
To Switch the Voice Menu that Plays:
Once you have the menus you’d like in your account you can schedule them just like you schedule providers on the call schedule.
- Login to your account online
- Click Schedule, then click Voice Menu
- Click “Edit Regular Schedule” on the left for things like weekend menus that will always play on the weekend. Click “Add Schedule Exception” for times that you want a menu to play for only one day and set the date/time/menu that you’d like. Exceptions appear in red and can be edited by clicking on them.
